In order to stay in touch with prospects you have met, friends, family and customers or clients, you will need a mailing list.

The best way to build a mailing list is to capture the names and addresses of prospective recipients by inputting their information from business cards or checks you have received from them. The best way to start is by creating a database either in Excel or, if your budget allows it, search for appropriate real estate software such as Sharper Agent, Top Producer, eNeighborhoods, which allow you to enter names and addresses and help you create your mailings. The best approach is to input new information immediately and continuously grow your database. Remember it takes large numbers of mailings to develop the necessary business flow.

To augment your mailing list, you can also rent a mailing list. To do this, you can contact brokers by searching the Yellow Pages under “Mailing Lists” or “Mailing Services” or in the classified section of mail order trade magazines.

Some list companies let you try a list before leasing it. Rental costs may range from $50 to $90 per thousand names, for a one-time use only. Your best bet is to invest in at 5,000 names.

Consider your first mailing a test. Ideally, you want to shoot for a response of at least two percent, although a smaller percent of true prospects, which convert to clients and then as sources of referrals would define an excellent outcome.
